Position Overview

The Financial Aid Counselor is a key ally to support students before, during, and after their time at Butler University. The Financial Aid Counselor counsels students and families from the initial financial aid application as a prospective student, through the renewal financial aid process to maintain eligibility from varying aid sources, to educating students and parents about responsible borrowing and repaying their loans after Butler. The Financial Aid Counselor must understand and interpret Federal and State laws, Institutional policies and needs, and all components of calculating student financial aid eligibility while confidentially handling families' highly sensitive financial information. The Financial Aid Counselor manages and coordinates the financial aid front desk operations, assists with crucial financial aid aspects including compliance, and facilitates multiple liaison relationships to various departments across campus.

Primary Responsibilities:

  • Assists in management of all front desk operations, including desk coverage, appointments, technical support, response summaries, and additional operational needs.  Is the first point of contact for customers contacting the office by visit or phone. 
  • Counsels prospective, current, and former students and families through visits, emails, presentations, and by phone.  Provides efficient and effective communications through the complex annual financial aid process and enables families to make informed decisions regarding the funding of higher education, while balancing the University’s needs with the families’ expectations. 
  • Commands, audits, and inspects all aspects of need analysis, the Free Application for Federal Student Aid (FAFSA) data, and financial aid processing. This includes scrutiny of internal packaging guidelines and accurate and compliant awarding of all aid. 
  • Interprets the intent of federal and state laws and regulations.  Uses professional judgment to determine aid eligibility and makes adjustments with federally-accepted documentation.  Interacts and collaborates with key federal and state agencies to ensure fiduciary and regulatory integrity.
  • Assist Associate Director and Assistant Director for Compliance including but not limited to
    • Review, request, and process verification documents
    • Assist with SAP review and coordinate notifications to students
    • Assist with Department of Education report
  • Coordinate outgoing financial aid notifications and other communications to students and families. 

 

Additional Responsibilities:

  • Provides liaison relationships with campus constituencies to disseminate information about federal, state, and institutional aid programs and the guidelines by which they are governed.  Shares this financial aid knowledge, provides training, and uses expertise to directly answer questions from others across campus to provide seamless correspondence between the departments and offices to ultimately provide the best possible student experience. 
  • Develops and implements the policies and procedures to effectively process federal, state, and institutional aid applications and related documents, which leads to the authorization and disbursement of approximately $120 million each academic year. 

 

Qualifications and Requirements:

  • Bachelor's Degree 
  • One to two years of progressive experience working in an administrative position in a college or university, especially in a counseling role, or one to two years of administrative financial aid experience 
  • Excellent communication skills, both verbal and written
  • Problem-solving skills, organizational skills, attention to detail, a self-starter, ability to work effectively as a member of a team
