Position Overview

The Administrative Assistant (Efroymson Diversity Center – Butler University) is a supportive contributor to the execution of the tasks and goals of the Efroymson Diversity Center. The Administrative Assistant will manage and organize the day to day logistical operations of the department through greeting, tracking, evaluating, recording/reporting, and inventorying. This internal-facing professional connects with the department/division staff teams to ensure successful outcomes toward our established goals.
 
The Administrative Assistant will oversee the process-oriented functions of the Efroymson Diversity Center including, but not limited to the payment of vendors, producing necessary contracts, tracking student engagement, providing tours of the center to visitors, and responding to inquiries.
 
This role is part-time, working 20 hours per week with an end date of May 31st, 2025. 

Responsibilities

  • Contribute to the University's strategic goal of creating an intentionally diverse, inclusive, and equitable learning and working environment.
  • Connect with campus partners to complete logistical processes – including, but not limited to drafting contracts and creating vendor requisitions
  • Assist staff by ordering and delivering needed supplies
  • Provide leadership and oversight in creating meeting agendas, taking copious notes, and compiling information for staff effectiveness
  • Complete tracking of student engagement data within Butler Blue Scholars Programs and student organizations affiliated with the Efroymson Diversity Center
  • Assist with marketing, setup, and cleanup of departmental/divisional events
  • Manage paper and virtual filing systems of the department
  • Evaluate and maintain inventory of departmental supplies and resources
  • Greet visitors and provide tours of the physical space, as requested
  • Plan internal department events and activities such as team building
  • Perform other duties as assigned by Director.

Required Qualifications 

  • A high school diploma
  • Minimum of two years of experience working directly in administrative roles
  • Demonstrated commitment to diversity, equity and inclusion.
  • Experience working directly with and supporting the needs of an active staff team.
  • Ability to establish and maintain strong, collaborative working relationships/partnerships utilizing interpersonal and problem-solving skills.
  • Experience communicating effectively with students, faculty, staff, and prospective students/families.
  • Demonstrated understanding of college student development
  • Experience with and a desire to have a high level of engagement with logistics
  • Creative, innovative, collaborative, glass half full, can-do attitude!

Required Qualifications 

  • Bachelor’s degree
  • Able to fluently communicate (spoken and written) in both English and Spanish
