Pharmacy Online Pathway Experiential Liaison

Summary of Position: 

This is a full-time, 12-month, staff appointment in the College of Pharmacy and Health Sciences.  The Pharmacy Online Pathway Experiential Education Liaison is responsible for: (1) identifying, recruiting, and securing qualified sites and preceptors based on established criteria and process; (2) facilitating the scheduling of all student rotations in the online pharmacy pathway; and (3) providing customer service representation on behalf of the college with the goal of creating and maintaining quality relationships with preceptors and their institutions. This position will require 10-25% travel outside Indiana. 

Responsibilities 

  • Promote programmatic expansion and identify and recruit new preceptors, sites, and partners to support/train students in experiential education  
  • Conduct preceptor/site visits, in person and virtually, and maintain existing relationships/partnerships on behalf of the Office of Experiential Education. 
  • Communicates and interacts daily via email, phone and teleconference with healthcare site administrators, HR personnel, medical education departments, preceptors, and students to request/confirm rotation placements, gather/communicate new site onboarding protocols and paperwork; schedule on-site visits and assist students and clinical sites with onboarding compliance. 
  • Initiate legal agreement process for COPHS Online Pharmacy Pathway. Specifically, provide input for each agreement regarding identifying unique or unusual requirements of rotation sites; assisting Butler’s legal counsel, risk manager and insurance provider by providing necessary context and addressing their questions; ensuring that tracked changes for all agreements are implemented before final execution; facilitating Docusign; recording fully executed agreements; requesting certificates of insurance for external entities.  
  • Communicates updates to EEO Staff on preceptor status and ensures applications and syllabus are on file 
  • Confers with EEO staff to coordinate in the scheduling process for all Introductory and Advanced Pharmacy Practice Experiences (IPPEs and APPEs) for online pharmacy students, rescheduling of students as needed; answering scheduling questions and concerns of students and preceptors. 
  • Maintains site-specific onboarding procedures for rotation sites on E*value; assists students and preceptors with on-boarding process. 
  • Assists Director of Preceptor Development with preceptor development/orientation events, as well as the Preceptor Connect Event for the pharmacy program. 
  • Tracks payments to sites for online-pathway student rotations, matching payment amounts to actual rotations scheduled each year.  

Qualifications and Requirements:  

  • Minimum of bachelor’s degree. 
  • Experience working in the health care system required; preference for candidates having knowledge of or experience in healthcare sales. 
  • Requires an in-depth knowledge of common office/site procedures and etiquette. Must have general knowledge and understanding of pharmacy practice and various sites of practice, including hospitals/health systems, clinics, and community pharmacies. Ideally have prior relationships with healthcare providers/pharmacists, healthcare organizations and networks to be able to identify the most valuable opportunities for placement and partnerships. 
  • Ability to communicate effectively and persuasively with external members in writing, in person, and utilizing telephone or video conferencing.  
  • Ability to interact effectively with college administration, faculty, staff, and students. 
  • Proficiency in software used for scheduling and evaluating experiential students. 
  • This position will require 10-25% travel outside Indiana.
