Position Overview

The Program Coordinator for College of Education Graduate & Adult Learning Programs will assist with various duties related to the day-to-day management of online and in-person graduate and adult learning programs, including but not limited to timely and accurate communication with current and prospective graduate students, monitoring and processing admissions and enrollment requests, scheduling courses, and providing general organizational, data management, and administrative support to program personnel as needed.

Responsibilities

  • Coordinates graduate (degree and non-degree) admissions, including duties such as communication, application tracking, problem solving, and reporting.
  • Thoroughly understands each program's entry requirements, plan of study, and matriculation timelines.
    In collaboration with the ADGALP and program directors, develops and publishes the course schedule for COE graduate and adult learning programs and assists students with registration issues.
  • Serves as a key resource for students, faculty, and other staff members for issues related to graduate program curricula and enrollment.
  • Communicates with current graduate students, including through general maintenance of and announcements to a Canvas organization course.
  • Communicates with external stakeholders such as online program management partners, employers, and schools and responds or forwards communications as necessary and appropriate.
  • Oversees the hiring of adjunct faculty by communicating with and collecting the necessary paperwork and contracts. Similarly, monitors the accounts for affiliate faculty to keep them current.
  • Executes accounting functions for graduate programs such as vendor contracts, payments, and institutional invoicing with student accounts.
  • In collaboration with faculty and program directors, assists with field placement agreements, documentation, communication, and data collection.
  • In collaboration with the ADGALP and Data & Accreditation Manager, assists with data collection for accreditation and external reports. 

Required Qualifications 

  • Bachelor’s degree
  • 3 years of work experience in higher education
  • Demonstrated alignment with the COE Shared Commitments
  • Strong organizational, written, and verbal communication skills
  • Ability to work independently and manage multiple priorities
  • Willingness to learn new skills and assume new responsibilities

Preferred Qualifications 

  • 5 years of work experience in higher education
  • Work experience related to the responsibilities listed above  
  • Familiarity with the Slate, Peoplesoft, Google Drive, Microsoft Teams, and other applications related to this position
