Butler University seeks an Assistant to the Dean in the College of Communication.  The dean's assistant provides administrative support to the dean in carrying out the business of the college. The dean's assistant has direct supervision over two administrative assistants that include training, managing and evaluating their job performances. The position also involves an assortment of budgetary and operational duties and responsibilities.

 

Primary Responsibilities:

  • Serve as Dean's lead contact with President's Office, Provost, Budget Directors, HR, VP's, Advancement, and Admissions.  Essential
  • Supervise two college administrative specialists. Implement hiring and interviewing process for college administrative specialists. Analyze and evaluate applicants. Hire, manage, train, and evaluate. Assist in goal planning and writing. Institute improvement plans for administrative specialists, as needed.  Essential
  • Manage, monitor, track, and make recommendations regarding the CCOM annual operating budget, gift funds and grants. Act as a liaison with the academic budget director for semi-annual review. Process electronic AP vouchers, requisitions, purchase orders, journal vouchers, deposits, and BU procurement statements. Track faculty travel expenses and development fund expenses, submit expense requests, and pay invoices. Maintain database for tracking HAC and BAC grants for CCOM faculty travel. Track summer course enrollments in order to prepare and manage summer payroll documentation.  Essential
  • Prepare and draft full-time faculty and adjunct contracts, appointment letters, faculty and staff status forms and part-time appointment forms. Process onboarding for new full- and part-time faculty. Maintain confidential faculty and staff personnel files.  Essential
  • Attend and take minutes at College, Department Chair and Dean’s Advisory Board, meetings. Coordinate catering and set-up for College events and meetings.  Essential
  • Implement and collect year-long course schedule plan for three CCOM departments and one School, analyzing and balancing both faculty load and course grid time distribution. Input course schedule in PeopleSoft and review for accuracy.  Essential
  • Assemble, track and collect Course Climate course evaluations for more than 40 faculty and 100 courses twice yearly to be used by the faculty for the FAR.  Essential
  • Other duties as assigned.

 

Qualifications:

  • Bachelor’s Degree
  • 3-5 years of relevant work experience
  • Knowledge of Butler University’s processes is preferred
  • Excellent communication skills both verbal and written
  • Must be able to effectively and strategically prioritize challenges
  • Ability to manage and maintain confidential records
  • Must be detail oriented with strong organizational skills
  • Ability to anticipate needs of the college
