Athletic Insurance Coordinator

Description of Position:

The Insurance Coordinator manages all daily operations of insurance services for more than 550 student-athletes. The Insurance Coordinator ensures that medical services are properly authorized by Sports Medicine athletic trainers and physicians, submits claims to the athletes’ primary insurance carriers and to the secondary athletic insurance plan, oversees and coordinates the benefits between plans, and monitors and reconciles deductibles paid by the athletic insurance carrier. The Insurance Coordinator must communicate with the student-athlete and his or her parents, athletic trainers, Sports Medicine physicians, specialist physicians, primary care providers, coaches, insurance plan representative and insurance brokers.


Daily responsibilities for the Insurance Coordinator as listed above, including the following:

  • Completes referral process for those student-athletes under the United Healthcare Student Resources primary insurance coverage through the University.
  • Collaborate interdepartmentally and with the University Health Center to gather/disperse information pertinent to patients’ insurance coverage and claims.
  • Ensures all medical bills incurred by student-athletes are submitted to the correct insurance carrier and processed in a timely fashion.
  • Maintain records of all claims paid by the athletic insurance plan carrier against the deductible and reconcile deductible payments.
  • Serves as liaison between Butler Athletics, carriers, insurance broker and Third Party Administrator (secondary insurance claims payer.
  • Provides doctor’s offices and insurance carriers with necessary and pertinent information about student-athletes and their injuries.
  • Confirms enrollment in all relevant insurance plans. Processes outside referrals.
  • Develops and maintains customized software applications to manage all data associated with Athletic Insurance Program.
  • Maintains database to record billing, deductible, and provider contact information.
  • Analyzes business needs and recommends modifications and changes of procedures and forms

Required Qualifications:

  • In depth knowledge of health insurance industry standard practices including CPT and ICD-10 coding.
  • Knowledge of medical terminology and claims processing operations,
  • Experience with project management, as demonstrated by ability to organize, coordinate and complete projects effectively and within deadlines
  • Experience with management of clinical data, including collection of data elements, verification of data integrity, querying databases to extract data, and reporting information in a useful format.
  • Expert user of Windows and the Microsoft Office suite, including word-processing, spreadsheet systems, and database programs.
  • Experience upholding high standards of customer service in a demanding and complex health care organization.
  • Extremely well organized, communicate effectively verbally and in writing, possess excellent analytical skills.
  • Demonstrate strong interpersonal skills to build effective, professional working relationships.
  • Able to function independently, exert creative problem-solving abilities on a regular basis, and exercise sound judgment.
  • Technical or Associate’s degree and/or equivalent training and experience.
  • Must maintain current knowledge of applicable rules and standards of the Big East Conference, the National Collegiate Athletic Association (NCAA), as well as other associations and agencies to which Butler University Athletics adheres, and, at all times avoid any and all violations of these rules and standards.

Preferred Qualifications:

  • Previous experience working in student health facility, collegiate sports medicine, or medical practice management.
