Position Overview

Butler University is seeking an Assistant Director to help lead and support a growing and innovative Competitive Sports program based on the BU|BeWell experience framework. The Intramural Sports program consists of approximately 1500 unique Butler participants annually in 16 intramural sports with over 600 teams. The Club Sports program consists of 26 Competitive and Recreation clubs. Direct Reports consist of approximately 60-part time student employees. This position facilitates reservations, contracts, travel, marketing, administrative operations, purchasing, professional development, hiring and onboarding, financial and risk management, advancement, recruitment and assessment. This position will strive to foster an inclusive environment that seeks to serve a diverse campus community through actively developing and implementing strategies and programs to engage under-represented populations. The position reports to the Director of Recreation & Wellness.

Responsibilities:

  • Advance BU|BeWell through programs and services that promote a holistic student experience for participants
  • Implement diversity and inclusion initiatives into program areas
  • Ensures the planning, organization, implementation, and evaluation of programs are conducted in accordance with established service and safety standards.
  • Develop and manage Club and Intramural policies and procedures based on university, department and governing body directives and guidelines as well as best practices.
  • Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program.
  • Ensures that policies & procedures are properly developed, communicated, interpreted and implemented uniformly; analyze and evaluate policies and procedures and revise as needed.
  • Manage athlete and team registration including the collection of forms and information including; facility use and scheduling, team travel, fundraising, compliance, assumption of risk/waivers, accident reports, insurance and risk management, athlete eligibility, post-season competition, development efforts, alumni relations, coach employment, team supervision and any other required documents.
  • Provide leadership and direction to ensure that Competitive Sports engage participants, promote health and well-being and provide a cross-section of opportunities for learning.
  • Assists in the development of a comprehensive package of marketing and promotional efforts
  • Submits promotional copy for programs prior to established deadlines.
  • Defines target markets. Assists in conducting analysis, assessments and industry research.
  • Encourages participant and staff use of social media to bring awareness to sports programs
  • Responds to customer concerns and comments
  • Ensures the indoor and outdoor facilities for Competitive Sports programs are reserved and coordinated in accordance with the approved policies of the Office of Recreation & Wellness and Athletics Facilities
  • Independently implement, administer and evaluate day-to-day activities of the program. Act as key contact.
  • Provide for effective customer service delivery, management of associated risks and liability, evaluation and development of programs, including monitoring and updating of policies and procedures
  • Provide leadership and direction to ensure that the Competitive Sports program offer competitive and fun opportunities for athletes and teams while supporting student leadership development
  • Equipment management. Including all team equipment that is being stored on campus and off campus in non-university facilities
  • Provide engaged leadership and supervision of the Competitive Sports program staff  
  • Ensure that hiring, training and, when required, proper termination of all student and contingent staff for Competitive Sports programs are conducted in accordance with department and university policies and guidelines.
  • Develop, manage and evaluate staff for each program to maximize staff retention and professional growth. Select, train, supervise and evaluate part-time and seasonal staff teams.
  • Provide strategic analysis of Competitive Sports program budgets, ensuring operations are managed efficiently 
  • Monitor budgets routinely; oversee purchases; and ensure adherence to financial deadlines and guidelines.
  • Coordinate contracts and agreements with external partners including, but not limited to: Velodrome, Eagle Creek Boathouse, Fuel Tank ice rink, climbing facilities, Equestrian stables, Athletic Trainer group, Team Leagues and Associations.
  • Develop and direct the implementation of operating policies and procedures for Competitive Sports
  • Provide strategic analysis of Competitive program budgets, ensuring operations are managed efficiently
  • Monitor budgets routinely; oversee program area purchases; and ensure adherence to financial deadlines and guidelines
  • Develop and direct the implementation of operating policies and procedures for Competitive Sports
  • Collaborate with university contacts including, but not limited to, Advancement, Admissions, Alumni Association, Legal, Athletics, Human Resources, Facility Operations, Information Technology and Programs for Student Involvement and Leadership staff

 

Required Qualifications

  • Bachelor’s Degree in related field required
  • Master’s Degree Preferred
  • 2-3 years of relevant work experience
  • Demonstrated commitment to diversity and inclusion through programming, trainings/workshops or mentoring
  • American Red Cross 1st Aid & CPR certified required
  • Certified High School Sports Official preferred
  • Ability to work nights and weekends
  • Ability to effectively work with multiple constituencies, organize and manage tasks
