Position Overview

We seek a degreed professional to promote and represent the university to prospective students and assist students and families in the enrollment process. Reports to the Associate Director of Admission - Visit Experience Team, and is responsible for all aspects regarding recruitment of prospective first year (and transfer students) with a specific emphasis on planning, coordinating, and properly executing daily visits for the Office of Admission. This professional will serve as the main contact between prospective students and their families visiting Butler University and will have oversight of all daily visits for the university; the admission assistant for campus visits reports to this position. Uses a strategic approach to territory management with guidance of the senior team to ensure steps are in place to meet enrollment goals. Assists with the coordination of projects and programs as assigned.

Primary Responsibilities:

Counselor Responsibilities

  • Strategically manage an assigned territory that involves 4-6 weeks of recruitment travel such as high school visits, college fair attendance, student and parent panel participation, interviews, case studies, and prospective or admitted student receptions
  • Utilize territory management tools to build travel schedule and determine outreach by market
  • Counsel families on the admission and financial aid process to help support, grow, and/or maintain enrollment
  • Build relationships and follow-up communications with college counselors within territory
  • Proficient in generation of applications, application completion and comprehensive review of applications by territory and programs
  • Compile periodic updates reports to assess three year territory trend and yield activity as well as comparative reports for campus event analysis
  • Demonstrate proficiency with the financial aid process

Campus Visit Responsibilities

  • Supervise the Admission Assistant for Campus Visits and/or student interns
    • Serve as primary contact person for all prospective students and families visiting the University
  • Oversee the management of phone and email communication for all visit communications
  • Oversee the scheduling of individual and group visits as requested by prospective students and high school counselors
  • Coordinate the way we greet prospective families in a genuine and enthusiastic manner
  • Collaborate with academic and athletic departments as well as admission staff to create individualized campus visits tailored to the interests of prospective students
  • Plan daily individual and group itineraries
  • Maintain procedures and documentation for Admission Office front desk operations
  • Compile daily campus visit evaluation data to support making informed decisions
  • Coordinate data entry related to visiting prospective students
  • Serve on assigned internal work groups and committees
  • Support the events team – duties as assigned
  • Represent Butler University and Office of Admission in professional manner to on- and off-campus constituencies
  • Add visit blocks on Slate (CRM) Calendar and managing event calendar for visits
  • Assist with changes on Slate forms & communications – Surveys, visit reporting, etc.
  • Oversee the operating budget associated with daily visits
  • Effectively communicate the mission of Butler University
  • Proficient in small and large group presentations
  • Other duties as assigned

Qualifications and Requirements:

  • Bachelor Degree
  • Customer service and hospitality experience highly preferred
  • CRM experience, and management (Slate; PeopleSoft)
  • Excellent oral and written communication skills
  • Detail-oriented with excellent organizational and multi-tasking skills
  • Ability to create long-term relationships with other offices
  • Professional appearance and demeanor
  • Strong teamwork skills geared toward providing solutions
  • Flexibility in a changing and fast paced environment
  • Willingness to work extra hours and/or weekends when needed
  • Knowledge of Microsoft Outlook, Office, and Google Docs/Drive preferred
  • Admission and/or related higher education highly preferred
  • Experience working with high school or college bound students preferred
  • Ability to speak another language is beneficial but not required
