Position Overview

Position serves within the Operations team of the Office of Admission and reports to the Associate Director of Admission - Operations.  This position oversees the first-year applicant workflow using Slate CRM and PeopleSoft SIS. This position assists in coordinating the work of the Operations team and directly supervises one or two student assistants as well as temporary help during our peak application period. The successful candidate will demonstrate exceptional attention to detail, problem-solving and time management skills.

Primary Responsibilities:

  • Accurately, efficiently and in a timely manner coordinate the processing of all first-year applications and credentials
  • Assist with establishing goals and objectives and identifying and recommending areas of operational improvement
  • Respond to first-year inquiries as required
  • Implement, revise and monitor communication flow (electronic, print) for prospective first-year students and applicants,  including the following email communications: system/application update, form-based application triggers, incomplete application reminders, internal notifications, withdrawal confirmations
  • Confirm and process all admission decisions for first year applications
  • Provide accurate and timely information to others within Enrollment Management and to other offices on campus regarding applications
  • Ensure data integrity of prospective, applicant and matriculated first year student records
  • Troubleshoot and resolve Slate and PeopleSoft application issues by creating and managing system queries and/or working with IT for resolution
  • Process enrollment deposits and withdrawals
  • Matriculate first-year students

Additional Responsibilities:

  • Serve as liaison to the Learning Resource Center for New Student Registration
  • Serve as liaison to Registration and Records for first-year students’ college transcript credit evaluation
  • Serve as liaison to Student Accounts for first-year enrollment deposits; assists with annual reconciliation
  • Oversee processes for deferred and waitlisted students, as well as decision appeals
  • Collect and analyze first year student data, trends, etc. as requested by campus constituents in order to support enrollment policies and strategies
  • Provide functional guidance to the Operations team
  • Process confidential material
  • Assist in answering telephone inquiries from all callers to Office of Admission
  • Assist in testing first-year applications, including the Common Application
  • Assist in regression testing
  • Develop/revise policies and procedures
  • Monitor budget expenditures
  • Assist in planning and implementation of staff development opportunities
  • Special projects as assigned

Qualifications and Requirements:

  • Bachelor’s degree
  • Minimum of three years experience in full-time, progressively responsible experience in administrative support with an emphasis on database management and customer service
  • Demonstrated ability to use Microsoft Office programs (Word, Excel, Outlook)
  • Excellent organization, customer service, and oral and written communication skills
  • Ability to work Select weekend hours (Open Houses, Scholars Day, etc.)

  • Experience with PeopleSoft (SIS)
  • Experience with Slate (CRM)
  • Higher education experience
  • Supervisory experience
  • Project management experience
  • Experience handling multi-line telephone system
  • Demonstrated ability to take initiative, problem solve, and meet deadlines
  • Ability to collaborate effectively as a member of a goal-oriented team
  • Butler University graduate
  • Fluent in the Spanish language
